Democracy Tent Request

The County Committee has two Democracy Tents/Tables. We book and pay for approximately 12 county-wide events, street fairs, and festivals months in advance. Most weekends, from June through early October, we participate in at least one of these events.
Logistically, this requires volunteers to deliver, set up, staff, break down, retrieve, and store the tent setup for subsequent events. Additionally, we need 3–4 volunteers to staff each event. Finding reliable volunteers for every event can be challenging. Kathryn Arffa serves as our volunteer coordinator and is responsible for recruiting volunteers for these events. Securing sufficient volunteers for the Democracy Tent is critical and often difficult.
To efficiently manage requests for the Democracy Tent, we require at least one week's notice—more advance notice is preferred. This lead time allows us to verify the tent's availability and ensure that we can secure enough volunteers. If you're requesting the tent, assisting in staffing your event greatly increases our ability to support your request. We are less likely to accommodate short-notice requests due to these logistical considerations.
Please use this form to request the Democracy Tent, and we will promptly respond with confirmation, declination, or follow-up questions. Our goal is to participate in as many meaningful events as possible, given our available resources and volunteers.
Checklist of Items and Responsibilities When Requesting:
The requesting party is responsible for picking up, setting up, staffing, breaking down, and returning the following items to the Vice Chair for Voter Outreach (contact outreach@ucdems.org to coordinate):
Two large canvas zipper bags:
One contains the tent itself.
One contains two large vinyl banners and runner twist ties for attaching banners to the back top edge of the tent.
One folding table
One blue tablecloth
One light-blue collapsible tote cart to transport the tent and supplies from the car to the event location.

Large supply of voter registration forms:
Fill in carefully and take a photo of each completed form.
Return completed forms to the Board of Elections (BOE).
Large supply of blue Ulster Votes forms
Upright comic book-style tri-fold wooden display with superhero characters:
Designed to attract children and parents to the booth.
Children vote for a superhero and receive a prize.
Bin of prizes and additional supplies (pens, extra forms, etc.)
